Overview

Works in collaboration with other Clinic Administrative staff and provider(s) to ensure clinic workflow and productivity is maintained at target levels, and resources are maximized for clinics and interdepartmental needs. Oversees clinic staffing including nurses, assistants, receptionists, etc. Oversees clinic appointments schedule, billing, collection of co-pay and other office procedures. Provides leadership to a team-based clinic environment in order to ensure positive and productive workflows. Reports to Clinic Administration Supervisor and Department Director.

Responsibilities

  • Processes physician and other department staff requests in a timely and proficient manner. 
  • Communicates and distributes information to Imaging Services team members correctly and accurately.
  • Completely and competently  prepares Imaging requisitions.
  • Correctly schedules examinations. 
  • Correctly prepares procedures for examinations.
  • Successfully accomplishes required Meditech computer activities. (I.e. census, inquiries, printer communications, reports, scheduling, order entry).
  • Has a working knowledge of medical terminology. 
  • Ability to read and communicate effectively.
  • Sends and receives radiology documents.
  • Finds radiology documents. (i.e. folders, reports, contrast forms)
  • Distributes all statuses of radiology reports.
  • Fulfills work assignments in a timely manner. 
  • Effectively communicates and works with secretarial supervisor.
  • Consistently demonstrates the ability to recognize age-specific needs to customers. 
  • Recognizes age-related impairments in vision and hearing and makes appropriate adaptations.
  • Recognizes age-related impairments in mobility and assists customers upon reception. 
  • Provides expected quality of work.
  • Makes efficient use of resources without waste.
  • Maintaining all clinic schedules to include vacations, sick time, extended leave, etc.
  • Inputting clinic supply orders.
  • Communicating clinic staffing needs to Clinic Administration Supervisor and Clinic Administrative staff. Coordinate with Human Resources as needed. Tracking clinic personnel training for new hires within the clinic.
  • Assistance with A/R reports and Collections lists, working in conjunction with Billing Department.
  • Assistance with the coordination of Population Health reports/assignments.
  • Maintains knowledge and enforcement of Compliance such as HIPAA, OSHA, and COLA/CLIA standards.
  • Other duties as assigned

Qualifications

Education:

 

  • Required: High School graduate
  • Formal education in secretarial, business, customer service or other related areas is considered desirable and a plus.
  • Medical terminology education a plus.
  • Preferred: Associate Degree or Bachelor’s Degree in Business, Accounting, Information Systems, Medical or related field 

 

 

Knowledge, Skills and Abilities:

 

  • General knowledge of secretarial functions.
  • Medical terminology. Clerical Receptionist and Computer knowledge are considered desirable and a plus.
  • Must be able to read, write, speak and understand English
  • Excellent Interpersonal skills and administrative skills
  • Strong computer and data entry skills, effective communication skills, ability to multi-task.
  • Excellent verbal and written communication skills.
  • Ability to focus on details with a high level of accuracy.
  • Proficient in organizing and planning.
  • Ability to prioritize and handle multiple responsibilities and seek guidance as appropriate.
