Overview

The Administrative Assistant-Public Relations provides essential administrative and logistical support to the community relations team, helping with day-to-day operations, event coordination, and content organization. This entry-level position is perfect for someone looking to gain experience in marketing and communications while working in a fast-paced healthcare environment.

Responsibilities

Key Responsibilities:

General Administrative Support

  • Assist with organizing and managing marketing materials, including print collateral, promotional items, and digital assets.
  • Maintain department calendars, including event schedules, content posting timelines, and project deadlines.
  • Support coordination of invoices, purchase orders, and vendor communications.
  • Assist in scheduling and preparing materials for internal and external meetings.
  • Other duties as assigned

Marketing & Advertising Support

  • Assist with social media by scheduling pre-approved content, responding to basic comments/messages, and tracking engagement.
  • Proofread marketing materials for accuracy and consistency.
  • Organize and maintain content library for the community relations department.
  • Other duties as assigned

Event & Community Outreach Support

  • Provide logistical support for community events, including setting up, breaking down, and interacting with the attendees on behalf of NARMC.
  • Help coordinate internal organization events.
  • Assist with vendor coordination.
  • Other duties as assigned.

Internal Communications Support

  • Assist in drafting and distributing internal communications and announcements.
  • Help coordinate internal signage updates and ensure information is up to date across the organization.

Qualifications

Qualifications:

  • High school diploma or equivalent required; associate’s, bachelor’s, and/or certifications in Marketing, Communications, or a related field preferred.
  • Strong organizational skills with attention to detail.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Suite.
  • Familiarity with social media platforms (Facebook, Linked In, Instagram) is a preferred.
  • Ability to multitask and manage deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to craft professional messaging, assist in content creation, and interact with internal and external stakeholders in a polished manner.

Work Environment & Physical Requirements:

  • Office-based with travel to hospital clinics and community events.
  • Some evening or weekend work may be required for event support.
  • Ability to lift and transport marketing materials (up to 25 lbs).
