Overview

The Surgical Materials Coordinator is responsible for overseeing the procurement, organization, maintenance, and distribution of surgical supplies and equipment within the Surgical Services Department. This role ensures that all materials are readily available, appropriately stored, and maintained to support safe and efficient surgical procedures. The Surgical Materials Coordinator serves as a critical link between surgical teams and the Materials Management/Central Supply departments, ensuring timely delivery, inventory accuracy, and adherence to hospital policies and standards. This position plays a key role in optimizing workflow and maintaining compliance with regulatory requirements.

Responsibilities

  • Materials Management:
    • Oversee the procurement, receipt, and stocking of all surgical supplies, instruments, and equipment.
    • Conduct regular inventory counts to ensure accuracy and sufficient stock levels for scheduled procedures.
    • Manage relationships with suppliers and vendors to guarantee timely delivery and resolve any discrepancies or issues with supply orders.
  • Support for Surgical Teams:
    • Collaborate with the operating room staff to ensure necessary materials are available and prepped for scheduled surgeries.
    • Communicate potential supply shortages or equipment delays to the surgical team and adjust orders or resources accordingly.
    • Participate in surgical team meetings to discuss materials usage, concerns, and future needs.
  • Cost Efficiency and Budgeting:
    • Track usage trends of surgical materials and identify opportunities for cost reduction without compromising quality.
    • Implement strategies to optimize the use of supplies and minimize waste through vendor contracts, bulk purchasing, or standardizing materials.
    • Provide monthly reporting on material usage, costs, and savings to Surgical Services Manager.
  • Compliance and Safety:
    • Ensure that all surgical materials comply with sterility and safety standards as outlined by regulatory bodies and hospital policies.
    • Regularly monitor expiration dates and ensure the safe disposal of expired or defective materials.
    • Adhere to infection control procedures during the storage, handling, and distribution of all surgical supplies.
  • Inventory and Data Management:
    • Utilize inventory management software to track materials, place orders, and manage supply levels.
    • Maintain detailed and accurate records of all surgical supplies, purchases, and usage for audits and compliance checks.
    • Generate and review reports for trends in supply usage and material demand.
  • Basic Anesthesia Support:
    • Set up and test anesthesia machines and equipment before surgical cases, ensuring functionality and readiness.
    • Assist anesthesia providers by preparing syringes, IV tubing, and other basic supplies.
    • Clean and restock anesthesia carts and machines between cases.
    • Ensure proper disposal of anesthesia-related waste and maintain compliance with safety protocols.

Qualifications

  • Education and Experience:
    • High school diploma or equivalent required; Associate degree or certification in supply chain management, medical logistics, or a related field preferred. 
    • Must get certification in supply chain management CPIM or SCCP within two years.
    • Minimum of 2 years of experience in supply or materials management in a healthcare or surgical environment preferred.

Current BLS from American Heart Association needed. Also, will need to keep current.
