Overview

The Clinical Scheduler is the Central Scheduling department liaison working with the Center for Breast Care, Imaging, Respiratory, Cardiovascular, and various other clinical departments scheduled by Central Scheduling and the Central Scheduling staff.

 

This is a PRN position and all applicants must live within 50 miles from medical center.

Responsibilities

  • The Clinical Scheduler is responsible for auditing of central scheduler's work to insure accuracy of scheduled tests and scripting protocols.
  • Works with clients/schedulers on precertification, authorization and clinical documentation required by insurance companies to authorized the schedules procedure.
  • Maintains a good working relationship with referring physicians and specialist's office staff. Facilitating these doctors' offices with anything they need, including dealing with patients, or information needed from the facility.
  • Accurately schedules appointments for a variety of exams. Adjusts schedule as necessary to accommodate emergent situations and/or cancellations. Discuss preparations with patient prior to exam.
  • Schedules patient flow to clinic based on predetermined appointment arrangements to allow the clinic to serve an adequate number of patients as established by grant requirements.
  • Enters complete and accurate data into computer system regarding information on the patient, exam, physician and the like.
  • The Clinical Scheduler provides feedback and training to Central Scheduling staff and maintains department job aids and process documentation.
  • The Clinical Scheduler helps Central Scheduling call center and insures customer service goals are met and maintained.
  • Resolves customer service issues as they arise.
  • Coordinate information and input into computerize system for scheduling of patient visits and admissions to be reassigned
  • Reconcile referrals and visits utilizing computer reports and confirm information with staff.
  • Triage incoming telephone calls and respond or refer to appropriate staff.
  • Provide general administrative support associated with daily operations of a clinical team, and other duties to support branch operations, as requested.

Qualifications

Experience:

 

2 year minimum office experience in a healthcare setting

 

Degrees, Licensure and/or Certifications:

 

LPN license required

 

Knowledge, Skills and Abilities:

 

Familiar with computerized scheduling programs preferred

Ability to effectively triage incoming telephone information with urgency and calmness

Excellent interpersonal and customer service skills with ability to interact with a diverse population

Strong written, verbal and electronic communications skills

Ability to deal with sensitive information and maintain confidentiality.

Attention to detail and excellent organizational skills.

Ability to respond to the demands and continuous changes in the work environment

Basic medical terminology knowledge.

Participation in Quality Improvement / Redesign Program.

 

MATHEMATICAL SKILLS:  Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.  REASONING ABILITY: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.  

 

OTHER SKILLS AND ABILITIES: Basic keyboard skills and computer knowledge; Good communication skills; Good telephone skills, including use of multi-line phone; Professional demeanor and attitude; Ability to work effectively with others. Medical terminology helpful.
